Key Responsibilities
The selected Procurement Associate will support the Supply Chain Solutions (SCS) Team. In this role, you will ensure the execution of transparent, efficient procurement and supply chain services to external partners (including governments, NGOs, and sister UN Agencies) in strict compliance with UNFPA procurement guidelines.
A. Procurement and Supply Chain Operations
- Administer and execute end-to-end Third-Party Procurement Services from initial client request to final physical delivery.
- Prepare accurate Pro-forma Invoices in the Order Management System (OMS) according to customized specifications and established KPIs.
- Process, validate, and dispatch Purchase Orders (POs) in the ERP system, monitor international shipments, audit shipping documents, and resolve delivery or quality disputes.
- Reconcile Pro-forma Invoices with the SCMU Finance Team, process vendor payments, and submit final client invoices.
B. Operational and Technical Support
- Maintain up-to-date partner interaction records, communication histories, and agreements in the Customer Relationship Management (CRM) system.
- Support the StoreFront Third-Party Procurement digital transformation project during testing, implementation, training, and deployment phases.
- Develop data-driven reports, spreadsheets, and visual dashboards using Google Data Studio to track operational performance metrics.
C. Miscellaneous Support
- Carry out specialized supply chain logistics tasks as assigned by the Solutions and Relations Analyst and Team Lead.
Requirements & Qualifications
Education Requirements
- Completion of Secondary Education (High School Diploma) is required.
- A Bachelor's degree in Supply Chain Management, Logistics, Business Administration, International Commerce, or a related field is highly desirable.
- Professional Supply Chain certifications (e.g., CIPS Level 2, CILT) are considered a strong asset.
Experience and Technical Skills
- A minimum of six (6) years of professional experience in international procurement, logistics, or public sector supply chain operations.
- Strong negotiation, interpersonal, and communication skills to manage diverse multi-stakeholder relationships.
- Prior experience managing pharmaceutical, contraceptive, or medical device supply chains is highly valued.
- Proficiency in Google Workspace, Oracle-based ERP systems, Order Management Systems (OMS), and CRM databases.
- Familiarity with public sector procurement guidelines and international import compliance regulations.
Languages
- Fluency in English (written and spoken) is strictly required.
- Working knowledge of French, Spanish, or Russian is highly desirable.
